How to Correct Errors and Discrepancies on your Academic Documents.

Imagine the shock of finally holding your UNEB certificate or university transcript, only to see your name misspelled, your birth date wrong, or a grade that doesn’t match your hard work. In Uganda, a single typo on an academic document can stall a job application, a passport request, or a university admission. These errors aren’t just frustrating; they are legal roadblocks that suggest you aren’t who you say you are.

The good news is that these discrepancies can be fixed. Whether it is a small spelling mistake or a major data mix-up, there are clear paths to getting your records set straight. Here is how to navigate the correction process for 2026.

1. Correcting UNEB Bio-Data (Names and Birth Dates)

If your name is “John” on your ID but “Jon” on your certificate, or if your year of birth is wrong, you need to act fast. UNEB usually allows a window for corrections immediately after results are released.

  • The School Route: If the results were just released, go back to your school. The headteacher can submit a formal request to UNEB to amend the registration data.
  • The Legal Route (Statutory Declaration): If years have passed, you must go to a lawyer and get a Statutory Declaration (an affidavit). This is a legal document where you swear that “John” and “Jon” are the same person.
  • UNEB e-Services: Log onto the UNEB portal and look for the Amendment section. You will need to upload your National ID, the wrong certificate, and your affidavit.
  • The Cost: Amendments usually cost around UGX 50,000, depending on the type of error and how long you waited to report it.

2. Fixing Grade Discrepancies

If you are certain your grade is wrong—for example, you got a Distinction in mocks but a Failure in the final exam—you can request a Remark.

  • The Deadline: This must be done within 30 days of the results being officially released. Once that window closes, UNEB rarely accepts remarking requests.
  • The Process: You apply through your school center. UNEB will retrieve your original script and have it marked by a different set of examiners.
  • The Risk: Be aware that your grade can go up, stay the same, or even go down.

3. University Transcript Errors

University systems are prone to “missing marks” or data entry errors. Because transcripts are printed internally, these are often easier to fix than UNEB certificates.

  • Step 1: The Department Level: Go to your specific department or faculty registrar. Bring your original marked scripts or coursework records if you have them.
  • Step 2: The Correction Form: Most universities have a Correction of Results form. Fill this out and have it signed by your Dean.
  • Step 3: Senate Approval: Grade changes usually have to be approved by the University Senate before a new, clean transcript can be printed for you.

4. When Names Don’t Match Your National ID

This is a frequent issue for graduates. If your academic papers have three names but your National ID only has two, you will face hurdles at the Passport Office or Embassies.

  • The Solution: You do not necessarily need to change the certificate. Instead, get a Letter of Clarification from your University Registrar or UNEB stating that the person on the certificate is the same person on the ID.
  • Alternative: Update your National ID via NIRA to match your academic papers, as these are often considered the primary record of your identity.

Errors in your academic documents are more than just typos; they are legal obstacles. The longer you wait, the harder and more expensive they are to fix. Always check your registration slip before the final exams to catch these mistakes early. If you discover an error later, start with a Statutory Declaration and head straight to the UNEB or University Registrar’s office.
